Zoom for Campaigns, Visit Series and Activity Series

Overview

In our Winter '21 release, we introduced Zoom integration for Campaigns. In Summer '21, we have added the same functionality for Visit Series and Activity Series.

Note:
If this is your first time settting up Zoom in Events Rx, please follow the configuration instructions in Appendix V: Configure Zoom (introduced below). Otherwise, you can scroll down to the section on Using Zoom with Events Rx for the First Time.

Initial Setup: Configuring the OAuth App in Zoom

Before you jump to the setup instructions in Appendix V, please keep the following points in mind:

  • You will need to work in Salesforce Classic mode to complete the setup.
  • You must have administrator-level permissions in your Zoom account to configure the app.
  • You'll only need to do this once.

Using Zoom with Events Rx for the First Time

Once you have configured the OAuth app in Zoom, the Make it a Zoom Meeting button will become available for Campaigns, Visits, and Activities.

When you click this button for the first time, you may get prompted for some browser and app permissions. The process will look something like the below, depending on your various system settings:

  • A popup message asks if you want to open the Zoom app in a new tab. To prevent this message from displaying again, disable your browser's popup blocker.

  • After you click Open, you will be redirected to a new tab to sign in to Zoom.
    Remember:
    Sign in with the same Zoom account you used to configure the app in Appendix V.


  • After signing in, you'll be prompted to authorize the app you set up via the instructions in Appendix V.

  • After clicking Authorize, you will be redirected back to Events Rx and the Schedule a Meeting page, which will be populated automatically with your event's information. You can edit information on this page or click Save if no changes are needed.

Create Zoom Meetings for Visit Series

  1. Navigate to the Manage Visit Series page, either by creating a new Visit Series or editing an existing series.

  2. On the Manage Visit Series page, click the Make it a zoom meeting button, which opens the Schedule a Meeting page.

  3. Edit or fill out the fields on the Schedule a Meeting page and click Save.
  4. After saving, you'll be redirected to the Visit Series record, where you'll be able to view the Zoom meeting link that was just created.

    Note:
    If you don't see the link, you'll need to add the field to the page layout. Go to Settings > Object Manager, search for Visit Series, and click Page Layouts in the left column. Click the Visit Series Layout and drag the "Erx Zoom Meeting" field from the palette down to the page layout.
  5. To view and edit Visits in your Zoom account, navigate to your Zoom app (or log into Zoom from a browser) and click Meetings.

Create Zoom Meetings for Activity Series

  1. Navigate to the Manage Activity Series page, either by creating a new Activity Series or editing an existing series.

  2. On the Manage Activity Series page, click the Make it a zoom meeting button, which opens the Schedule a Meeting page.

  3. Edit or fill out the fields on the Schedule a Meeting page and click Save.
  4. After saving, you'll be redirected to the Activity Series record, where you'll be able to view the Zoom meeting link that was just created.

    Note:
    If you don't see the link, you'll need to add the field to the page layout. Go to Settings > Object Manager, search for Activity Series, and click Page Layouts in the left column. Click the Activity Series Layout and drag the "Erx Zoom Meeting" field from the palette down to the page layout.
  5. To view and edit Activities in your Zoom account, navigate to your Zoom app (or log into Zoom from a browser) and click Meetings.
