Recurring Events

The Parent Campaign

  1. When you set a campaign to be recurring, it becomes the Parent Campaign, and the subsequent events in the series become Child Campaigns.
  2. In a Recurring Campaign, the first campaign record you create will always be the Parent Campaign and this will always be the first event in the series.
  3. The Start Date and End Date fields refer to the start date and end date of the parent campaign.
  4. Some conditions apply when creating a recurrence:
    1. If the difference between Start Date and End Date is more than 6 days, the Daily option for Repeats will be hidden.
    2. If the difference between Start Date and End Date is more than 7 days, both the Daily and Weekly options will be hidden.
    3. If difference between Start Date and End Date is more than 30 days, the Daily, Weekly and Monthly options will be hidden.
    4. If difference between Start Date and End Date is more than 365 days, the Recurrence panel will be hidden.
  5. When Repeats is set to Weekly, you must select the weekday(s) on which the campaign should repeat.

After specifying all of the settings, click Save. The campaign and all of its child campaigns will be created and the parent campaign will open the Campaign Detail page:

Here, the “Is Recurrence” field is checked because the campaign is part of a series. This field is also checked on all of the child campaigns.

Child Campaigns

Setting an end date for a recurring campaign automatically generates the number of child campaigns in a series. On the Campaign Detail page, these are visible in the Campaign Hierarchy list (here we have renamed the child campaigns to be appropriate):

The setting for the above parent campaign is that it should repeat every 3 weeks and end after 3 occurrences.

The Child Campaign’s RSVP date is calculated by using the following formula:

ChildRSVPDate = childEndDate - (parentEndDate – parentRSVPdate)
so that the child has an RSVP date as many days in advance of its end date as the parent has.
