Generating and Emailing a Visit Itinerary

Overview

An individual Visit Itinerary email can be sent to a registered contact using workflow rules. In order to give you maximum flexibility concerning when and under what circumstances to generate the itinerary table and send it in an email, ERX Events will automatically generate the itinerary table and store it in the rich text field of the Visit record called “Table”. At the same time, four other fields will be automatically populated with URLs for cancelling the visit and adding calendar entries for the visit to iCal, Outlook and Google Calendar. (These are fields on the Visit called “Cancel your visit”, “iCal”, “oCal” and “gCal”, respectively.)

You may wish to generate and send the itinerary in an email immediately upon registration, or you may prefer to let the Visit Coordinator send each email individually through a more manual process after all details of the visitor’s schedule have been confirmed.
